Terms and Conditions

1. Scope and services

These terms apply to contracts for the design, organisation and implementation of professional delegation programmes, institutional visits, academic and professional exchange formats, expert talks, lectures, workshops and agreed language and interpreting services. BIKE offers programmes on site, hybrid and online. Accommodation, meals, travel, passenger transport and conventional tourist packages are not part of the services unless expressly agreed otherwise.

2. Conclusion of contract and programme

On the basis of the request, BIKE prepares an individual offer. A contract is concluded by written or electronic order confirmation. Content, period of service and scope result from the confirmed offer or programme. Changes and additional services require agreement and may be invoiced separately.

3. Implementation and institutional appointments

BIKE carefully coordinates the agreed professional programme items. Appointments with institutions, organisations and experts may, however, depend on their availability. Necessary and reasonable changes or alternative appointments are agreed with the client or communicated without delay.

4. Remuneration and payment

The prices agreed in the respective offer apply plus statutory VAT where applicable. Unless otherwise agreed, invoices are due within 14 days of receipt. BIKE may agree project-related advance payments. Costs of external experts, interpreting services or other expressly agreed third-party services are shown in the offer.

5. Changes and cancellation

Conditions for changes and cancellations are set out in the respective offer or contract. Design, organisation and coordination services already rendered as well as non-refundable third-party services may be charged in the event of cancellation.

6. Cooperation of the client

The client provides BIKE in good time with all information required for planning and implementation and names a reachable contact person. Participants must observe the rules and house regulations of the institutions visited.

7. Rights to concepts and documents

Programme concepts, documents and other content created by BIKE remain protected by copyright unless expressly agreed otherwise. Photo, film and sound recordings at non-public appointments require the consent of the persons entitled.

8. Liability and force majeure

Statutory provisions apply to liability. BIKE is not liable for failures or restrictions outside its own area of responsibility, in particular in cases of force majeure, official measures or short-notice cancellations by external institutions. Mandatory statutory liability claims remain unaffected.

9. Final provisions

German law applies. The place of performance is Berlin. Where legally permissible and the contracting parties are merchants, Berlin is the place of jurisdiction. Should individual provisions be invalid, the validity of the remaining provisions remains unaffected.
